MS Access – The App You Didn’t Know

Oftentimes, we purchase or acquire items without really understanding why we purchased them in the first place.  We are persuaded by word of mouth advertising and other influences.   Manufacturers often convince us that we must purchase items just because they are the authority, and they said so.  We purchase these items even though we know it means more money for them, and less money for their competition.  But what about products that cater to our best interests?  Sometimes we purchase things that we can use, but we do not take the opportunity to properly educate ourselves on those products.  Evidently, there is a huge population of people who own the Microsoft Office Suite.  Out of all the applications that are included in that package, how many of us can say that we use all of them?   MS  Word or Excel seem to be more popular than the others.  It has been my experience that Microsoft Access is one of the most complex and misunderstood applications in the MS Office Suite; even though it is used by millions.  Access does more than what some may think.

Access to Error

Software has simply simplified our lives.  In both our home and our jobs, we have garnered a dependency on the functionality of software and all of its qualities.   This does not mean that software dominates and governs our lives, but we are at its mercy when we have tasks to complete.  But if you have been living in this century, chances are your PC, desktop, or notebook has become an unofficial family member in your world.  It is also safe to assume that your workday consists of many projects and assignments that utilize the Microsoft Office Suite Collection.  Although highly efficient, and almost perfect for our word processing and data management needs, these programs are not without their glitches or imperfections.

Microsoft Access is one of the flagship programs/ applications in in the Microsoft Office Suite compilation.  Access is a DBM (database management system) that allows multiple users to build, store and manipulate information and data, in conjunction with Microsoft’s jet database engine.  When questioning the reliability of this application, Access is sufficient and favorable for its operational qualities.  Many of us can appreciate a product that delivers, and does exactly what it promises to do.  Access is succinctly user friendly for the most part, but it is not restricted to its share of issues, including the abilities of its users.  Yet, the problems do not always lie with the user, although it is highly common.

An example of a software error and a user error include:

  • Database corruption/Inconsistent data types
  • Compromised  Database Security

If you are a frequent user of Access, then you are probably aware of the redundant annoyance of database corruption.   Database Corruption is when an error occurs in the binary file format of a particular database.  This can lead to inconsistent data types.  Examples of this specific data include variables such as phone numbers or social security numbers, of names of people and places appearing in other fields.  Security of a database can be compromised when multiple users are registered to edit and access the files.  For example, certain users may have access to certain files, and may protect them being changed.  Yet because security measures such as securing the front end of the MS Access database is often overlooked, users who bypass this simple procedure give all rights away to unauthorized users; ultimately risking or ruining the content, integrity, and clarity of the data.
